Project Manager

Ramsey Purchasing's Project Managers will be responsible for familiarity with the overall project.  Essential functions and responsibilities will be overseen by the Project Director. At all times, the Project Manager is to perform job functions as a team player. The Project Manager will have at least 3-4 years hospitality purchasing experience and qualify for membership in ISHP.

The Project Manger will fully understand the process of a project. He/she shall be adept at problem solving, understanding and anticipating issues and being able to implement solutions as relates to project scope, product ordered, budgetary responsibilities and schedule/installation parameters. The ability to delegate to coordinators and office staff, when and if appropriate, is expected. This includes the ability to define, review and follow up on the delegated assignments.

Essential Functions and Responsibilities:

• Learn flow of Ramsey office procedures to be integrated into consistent project plans.
• Organize and maintain specification books
• Read floor plans for take-offs, counts, matrix
• Develop and prepare counts in a matrix format
• Prepare bid packages and track receipt of responses; prepare bid analysis.
• Develop purchase orders.
• Request and track receipt of samples, CFA's and SKO's, shop drawings, and finish samples.
• Verify purchase orders prior to Project Director's approval.
• Prepare and keep current status report; track and expedite orders.
• Verify acknowledgement receipts.
• Manage project record keeping, consistent with Ramsey procedures
• Review, approve and process invoices.
• Develop purchasing schedules and cash flow analysis based on owner, operator and GC schedules.
• Manage installation companies' scope; provide relevant documents and status to ensure timely installation.
• From time to time, other tasks may be assigned to the Project Manager to facilitate work flow throughout the office.
• From time to time, extra hours may be required to assist with project deadlines.
• The Project Manager will be expected to continue his/her development & education by attending trade shows, manufacturer's presentations, and other such opportunities.

Required Qualifications:
Comprehensive knowledge of:

• All aspects of hotel furnishings, both guest rooms & public spaces. 
• Budget creation and how it relates to client needs and the purchasing process.  Evaluating current cost vs. budget.
• Products and how products are bought and how different constructions of products relate to function and operation.  
• Reading floor plans for take-offs, counts, matrix

Expectation of:

• Proficient computer knowledge in a PC platform with Microsoft Access, Word, Excel and Outlook programs.  Alphabetic and numeric filing skills are required.  Articulate and grammatically correct English is expected.

Expeditor

The Expeditor will be responsible for clerical details to allow the Project Manager timely access to project information.  Essential functions and responsibilities will be directed by Project Manager and Project Director.  At all times the Expeditor is to perform job functions as a team player. The Expeditor will have 2-3 years hospitality purchasing management experience or comparable experience of at least 1 year in a related field.

Duties will include:

• Assist Project Manger in preparation of bid packages and track receipt of responses.
• Keep specification and transmittal notebooks up to date.
• Assist in developing, printing and assembling purchase orders for issuance. Track their submittals and receipt.
• Verify acknowledgement receipts. Contact vendor, in writing, if changes are required and follow up. Advise Project Manager.
• Manage project record keeping, including filing.
• Review basic invoices for accuracy and update of status report .
• Assist Project Manager with status report updates; track and expedite orders.
• Assist with requesting, tracking and reporting receipt of samples such as CFA's, SKO's, shop drawings and finish samples.
• Assist with counts.
• Contact and follow up with vendors to obtain information for reports such as Flame Certifications, Bulbing Requirements, etc.
• Timely reporting of all above information to the Project Manger.
• From time to time, other tasks may be assigned to the Expeditor to facilitate work flow throughout the office.
• From time to time, extra hours may be required to assist with project deadlines.
